Overview

When Stephen Fleming took over D’Angelo Realty in 2019, it was purely a sales brokerage firm. But as a property investor who was well connected in the investment community, he recognized the need for quality property management services.

“I saw the impact of time on other interests and professional pursuits. I knew that a property management service was critical for me to grow the other areas of my business,” he says. That was true for other investors he talked to, as well.

To do that, he needed to bring on comprehensive property management software that could help him reduce the time staff spent on the phone while scaling his business with just four full-time employees.

He used Buildium’s accounting, tenant screening, and Open API tools, as well as Buildium’s Marketplace, to do just that.

Challenge

About three years into managing properties, D’Angelo Realty had grown from 0 to about 50 doors. As they grew, Fleming found that he and his staff were spending a lot of time explaining financials to their owners. The property management software they were using at the time wasn’t intuitive enough, and so they needed to reevaluate.

“At 50 units, we were having at least two or three phone calls a day where we were answering accounting-level questions,” he says.

Approach

That’s when Fleming and his team decided to switch to Buildium and its more intuitive accounting features.

“We wanted something that looked similar to a banking system, something the majority of users would have some level of experience with,” he says. “So when they got in there, they would inherently know what to look for and how to operate the system without extensive training.”

Buildium’s accounting tools include:

  • Built-in calculators to help determine what you owe your company, your owners, and your vendors
  • The ability to change work orders into bills
  • Automatic payments and reconciliation
  • Recurring rent or fee payments
  • Customizable reports

Since they brought on Buildium, Fleming and his team adopted more of its features as part of their everyday business.

Tenant Screening

“We do use tenant screening to screen all of our tenants, which is tremendously efficient and effective in reducing our turnover,” says Fleming.

In fact, D’Angelo’s turnover rate is just 8%, a huge selling point to prospective clients. And while Fleming says their turnover has always been low, before Buildium, they had to work harder to keep it there. He estimates that before Buildium, a tenant screening took between three and four hours, whereas now, it takes about an hour.

“Getting rid of that turnover helps our rental owners because that’s one of their largest expenses,” says Fleming.

Maintenance Contact Center

“We no longer take phone calls for maintenance or put the work orders in,” says Fleming. “The Maintenance Contact Center takes the phone calls 24 hours a day and puts the information in as a task in Buildium.”

From there, either a member of his team or his after-hours vendors takes the request. It will even dispatch emergency maintenance automatically.

Marketplace and Open API

Through Buildium’s Marketplace, Fleming has brought on All Property Management to bring in new leads and grow his portfolio. Marketplace is an ecosystem of vetted software partners that are fully integrated with Buildium.

“The ability to build your business and add on technology to help you scale to the next level has been tremendously powerful and, honestly, very easy to implement,” he says. “You subscribe to the service, you go through training, and it’s there and it’s working without a whole lot of input or setup.”

He also uses the Open API to integrate software tools to help him manage workflows. With Buildium’s Open API, tech-minded property managers can integrate software they are currently using or build new software solutions.

Outcomes

With Buildium’s accounting tools, the two to three accounting calls per day they were fielding has dropped to one or two per week.

Buildium, in general, has saved his staff hours of manual, repetitive work and allowed Fleming to keep his team small and flexible. In fact D’Angelo Realty manages 400 doors with just four full-time staff members.

“Buildium is that fifth team member that’s helping us all keep it together,” says Fleming.
